RFQ - Imperial County Registrar of Voters Election Equipment Moving Service

PURPOSE AND BACKGROUNDThe County of Imperial is seeking qualified and experienced contractors to provide transportation services for election equipment in support of the November 3, 2026, General Election. The selected contractor shall furnish all labor, equipment, vehicles, and supervision necessary to safely transport election equipment between the Imperial County Elections Office located at 940 Main Street, El Centro, CA 92243 and the designated Vote Center locations.The County anticipates servicing fifteen (15) Vote Center locations throughout Imperial County.SCOPE OF WORKThe selected contractor shall provide transportation services, including loading, transporting, unloading, and returning election equipment according to the schedule established by the County.Services shall include, but are not limited to, the following:• Coordinate delivery and pickup schedules with the Imperial County Elections Office. (Pick Up/Drop Off Hours: 7am – 5pm)• Safely load election equipment at the County's designated location.• Transport equipment to each assigned Vote Center.• Unload and place equipment at the designated delivery location as directed by County staff.• Return to each Vote Center following the election to retrieve all equipment and transport it back to the designated County facility.• Handle all equipment with care to prevent damage during loading, transportation, unloading, and return.The equipment to be transported includes:• Approximately thirty-eight (38) election equipment containers. o Dimensions: Approximately 53 inches (L) × 26 inches (W) × 77 inches (H). o Containers are equipped with wheels for mobility.• Approximately fourteen (14) Ballot-on-Demand (BOD) printers. o Dimensions: Approximately 32 inches × 30 inches × 34 inches (H). o Containers are equipped with wheels for mobility.The anticipated transportation schedule is as follows:October 23, 2026 o Deliver equipment to two (2) designated Vote Center locations.October 30, 2026 o Deliver equipment to the remaining thirteen (13) Vote Center locations.November 4, 2026 o Retrieve all election equipment from all fifteen (15) Vote Center locations and return it to the County's designated facility.
