Sports Field Preparation and Striping As Needed

The City of Redlands seeks a qualified bidder to provide sports field preparation and striping as needed services for youth soccer, baseball, and football fields to ensure a ready, safe playing surface. Services will be performed at City-maintained parks and select fields with field use agreements within the Redlands Unified School District facilities. Services needed will vary by season and demand from user groups. Bidder must have a minimum of five (5) years of experience maintaining and striping sports fields of similar size and scope. Bidder personnel must wear identifiable attire clearly indicating their role as a service provider while on-site. Bidders must demonstrate the capability to provide reliable, timely, and professional services to support weekend sports schedules.The awarded bidder shall provide all labor, equipment, vehicles, materials, and supplies necessary to complete field preparation and striping services. Services include, but are not limited to:• Field Prep and Markingo Leveling and dragging of baseball/softball infieldso Compacting and leveling of batter’s boxes and pitcher’s moundso Painting of lines for football, soccer, and baseball outfields.o Chalking of infield lines, batter’s boxes, etc. for baseball/softball fields. • Requirements:o For regular field striping, fields must be striped and game-ready no less than four (4) hours before the first scheduled game of the day. If adjustments are needed to the regular schedule, the City will provide the bidder with at least one (1) week's notice.o With last-minute changes, cancellations, or emergency requests due to weather, tournament scheduling, or other operational needs, the City will provide the Bidder with at least 24 hours’ notice. o Services may be required on Saturdays and Sundays, depending upon scheduled games.o Striping must be performed in accordance with league standards (e.g., US Youth Soccer, Little League, NFL Flag) for dimensions and line markings.o Bidder shall ensure striping is clean, visible, and properly aligned with existing field layouts.o Bidder is responsible for any necessary layout adjustments before applying striping.• Materials & Equipmento Bidder shall provide all paint, striping equipment, vehicles, fuel, and any other necessary materials.o Only non-toxic, environmentally safe, water-based athletic field paint may be used.o All costs, including labor, materials, fuel fees, and equipment usage, must be included in the bid price.PART 4SCOPE OF SERVICES Request for Bid #FCS07092026JBSPORTS FIELD PREPARATION AND STRIPING AS NEEDED• Scheduling & Coordinationo All striping must be completed within the required timeframe before games.o Bidder shall maintain open communication with the City’s designated Recreation staff to address scheduling changes, weather delays, or field condition issues.o Bidder shall coordinate with City staff to perform work on RUSD school fields.o The schedule will include which service days fall on Saturday and Sunday.• Performance Standardso Lines must be clearly visible, straight, and of uniform thickness.o Fields must meet regulatory dimensions for the specific sport.o Work must not interfere with player safety or damage turf/field conditions.o Bidder is responsible for correcting, at their own expense, any striping errors or deficiencies identified by the City.• Safety & Conducto Bidder personnel must adhere to all City park rules and regulations.o Personnel must wear appropriate safety gear and visible bidder identification.o Bidder is responsible for safe operation of all vehicles and equipment in public park areas.
