Annual Turnkey Event Management

The City of Eagle Pass, Texas, is a vibrant and growing border community committed to providing high-quality events and experiences that enhance the quality of life for residents while promoting tourism, economic development, and community engagement. Throughout the year, the City hosts and sponsors a variety of public events, festivals, ceremonies, cultural celebrations, concerts, community outreach initiatives, and special programs that serve residents and visitors of all ages. The City of Eagle Pass is soliciting proposals from qualified and experienced firms capable of providing turnkey event management, entertainment procurement, production, promotional, and event execution services for City-sponsored events on an as-needed basis throughout the contract term. The selected contractor(s) shall possess the experience, personnel, resources, and industry relationships necessary to plan, coordinate, promote, produce, and execute events ranging from small community gatherings to large-scale public festivals and concerts. Services may include, but are not limited to, event planning and management, talent procurement and booking, stage production, audio and visual production, lighting, logistics coordination, marketing and promotional services, event staffing, technical support, and other related services necessary to successfully deliver City events. The City intends to establish one or more annual contracts with qualified firms capable of providing these services. Work will be assigned on an as-needed basis through individual purchase orders, task orders, or other written authorizations issued by the City. The City makes no guarantee of a minimum or maximum number of events, services, or expenditures under any resulting contract. Examples of events that may utilize this contract include, but are not limited to: Community festivals Holiday celebrations Concerts Cultural and heritage events Tourism and economic development events Trade summits and conferences Family-oriented activities Veterans and Memorial Day ceremonies Fourth of July celebrations Christmas and seasonal events Downtown promotional events Ribbon cuttings and grand openings Health and wellness events Youth and recreational programs Any other City-sponsored event or special initiative. Respondents are encouraged to demonstrate their ability to provide comprehensive, innovative, and cost-effective turnkey solutions that can be tailored to events of varying size, complexity, and budget. The City reserves the right to award contracts to one or more firms when determined to be in the City's best interest. This Request for Proposals (RFP) is issued in accordance with all applicable federal, state, and local laws, including the procurement requirements of the State of Texas and the City of Eagle Pass.
